Privacy notice for our crew

Who we are
The builder you work for (“we”) decides what is recorded about you and why: we are the controller. Contact: the owner of the business. We use an app called Bricken to record your days, pay and receipts; Bricken handles the information only for us (see Bricken’s privacy policy).
What we record, and why

The site check
It is off unless we switch it on for you, and we will tell you if we do. When it’s on and you tap Arrived or Left, your phone asks once for its location. Bricken works out how far that is from the job’s postcode and keeps only that distance, like “On site” or “About a mile away”. Where you actually were is never stored. Nothing is checked between the two taps, and nothing tracks you in the background. You can say no to location: your day is still recorded, marked “No site check”.
Who sees it
The owner of our business and the people we let approve days. You see your own days, receipts, pay and CIS statements, never our prices or figures. We give HMRC the CIS information the law requires, and our accountant what they need for our books. Bricken and the companies it uses to run the app (listed in its privacy policy) handle the information for us, under contracts that protect it.
How long we keep it
- Pay, days and CIS records: at least 3 years after the end of the tax year they belong to (HMRC’s rule), and usually 6 years for our accounts.
- Right-to-work records: while you work for us and for 2 years after you stop.
- Cards, inductions and site photos: while you work for us, and for the job’s records after.
- Site check distances: with the days they belong to.
Your rights
You can ask us for a copy of what we hold about you, and ask us to correct it, delete it, or restrict or object to how we use it. Ask the owner of the business. If you’re unhappy with how we handle your information, tell us first; you can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, 0303 123 1113.
